Job description (Roles and Responsibilities)

  • Performing secretarial work and day-to-day administrative support to Deputy CEO
  • Consolidating and compiling all departments’ report (weekly, monthly, mid-year, and yearly report) by analyzing information
  • Conducting research on daily insurance market and growth
  • Provide a high standard of personal executive to meet the needs of Deputy CEO’s objectives:
  • Managing correspondence
  • Scheduling appointments
  • Making travel arrangements
  • Organizing events if necessary
  • Drafting agendas
  • Taking minutes meeting
  • Circulating papers
  • Working closely with executive leadership team to provide support when appropriate
  • Complying with data protection legislation, managing company files, and filing (both electronic and hard copy), archiving or disposal of documents when appropriate.
  • Welcoming guests and customers by greeting them, in person or on the telephone; answering or directing inquiries
  • Representing the executive by attending meetings in the executive’s absence; speaking for the executive.
  • Completing projects by assigning work to clerical staff; following up on results
  • Maintaining professional and technical knowledge by attending educational workshops; reviewing professional publications; establishing personal networks; participating in professional societies
  • Translating relevant documents internally and externally

What you will need:

  • Bachelor’s degree or equivalent with work experience in previous PA role
  • You must have excellent interpersonal, customer service and time management skills, together with diplomacy, tact and well-developed organizational skills
  • You must have the confidence to deal with people at all levels and from all backgrounds.

The ability to listen and communicate confidently and clearly, both orally and in writing is essential.

  • The work requires administrative ability and is often to tight deadlines where accuracy and confidentiality are essential requirements of the job.
  • PC skills in MS office is essential.
  • Exceptional presentation and communication skills
